Being one of the pioneers, developing a global network and strengthening specialized services are the endeavours that BOT Lease and Co., Ltd., a financial services company, wanted to pursue. The BOT Lease Co. Ltd is an affiliated company of the Bank of Tokyo-Mitsubishi UFJ, Ltd. under the umbrella company of the Mitsubishi UFJ Financial Group (MUFG). MUFG is currently the largest bank in Japan and 8th largest in the world. It caters mostly to Japanese corporations worldwide for their banking and financial needs.
Today, BOT Lease and Finance’s network has expanded to seven domestic offices, with head office located in Tokyo, Japan and eight overseas offices located in China, Hong Kong, Philippines, Indonesia, Thailand, Russia, and Germany.
In 1996, the Philippines overseas subsidiary was established. “BOT Lease and Finance is a financing company that gives financial services to our clients. We provide credit facilities such as leases, mortgages, purchases of receivables, etc.,” said Margareth C. Zablan, General Manager of BOT Lease and Finance Philippines, Inc.
During the early years of BOT Lease and Finance, one of the difficulties encountered was managing the company’s print expenses since they were using single function printers. There was no accountability for the number of print-outs for each user. In order to address this issue, BOT Lease and Finance became the first company in the Philippines to procure a Canon imageRUNNER Advance C5035 enabling them to create login credentials per user in the company.
Security Policies
Being a long standing financial institution, the BOT LFP highly values the importance of security. There is great emphasis on ensuring that the client’s information is treated with the utmost care in relation to its privacy. In order to comply with the BOT LFP standards in security, login credentials were created per user to ensure that those who would operate the photocopier are authorized BOT Lease and Finance employees. “They are very particular with information security. For this reason, employees have their own passwords and we can track who prints what and how many,” Zablan said.
Through deployment of department IDs, security was implemented and costs were managed. Print jobs of employees were monitored well so as to generate savings for the company. “The logs will tell you who prints a lot,” she said.
Document printing and archiving
As a financial services company, the nature of work for BOT Lease and Finance is document-intensive that is why printing is a crucial aspect for the company’s day-to-day transactions. The machine present in the office is maximized by each employee. “We print all our documents in our machine – letters, reports and presentations,” Zablan said.
Due to the number of documents printed, the scanning feature of the iR-ADV machine is significant to BOT. “It is very practical when you scan a document and it sends directly to your email or shared folder,” Zablan said. BOT Lease and Finance was able to reduce the storage cost through scanning. In addition, retrieval is now much faster as compared to manually searching for documents in file folders.
Since printing is centralized, the proactive after-sales support provided by Canon plays an imperative role in maintaining the machine in BOT Lease and Finance to ensure business operations will not be hampered. With Canon’s monthly preventive maintenance and two-hour response time, the company’s photocopier is in great condition to handle the demands of the company. “Canon has exceeded my expectations with its after-sales service.
